Staff scheduling for movie theaters

The Schedule Is Law.

Build next week on a Friday-to-Thursday grid that already knows your first shows, your closes, and who's certified to pour.

Staff Schedule, Meridian 14 (demo theater and staff).

The film week

The week starts Friday. So does the schedule.

New titles open Friday, so UTU runs Friday through Thursday. Set first show and close for each day, and shifts follow them.

Flip on Opening and the shift starts before first show. Flip on Close and it ends when the late show lets out, so you're not typing 11:00 PM forty times a week.

Owen Barrett, Friday Oct 2. Opening would start at 9:00 AM, an hour before the 10:00 AM first show.

It tells you before the crew does.

Problems show up on the grid while you're building the week, not on Friday night.

  • AVAIL

Owen can't start before 4 on Saturday. You put him on at 2. The shift gets marked on the grid so you see it before he does.

  • 42.0

Past 40 hours, the weekly total changes color. You catch the overtime while it's still one click to fix.

  • RTO

Approved time off stays on the grid. You can still schedule over it when you have to. It just won't be quiet about it.

  • 21+TIPSSS

Turn on certifications and every name shows 21+, TIPS and ServSafe, so you know who can work the bar before you put them there.

Day Sheet, Meridian Crossing 8, Friday Oct 2 (demo theater and staff).

Day Sheets

Tonight's floor, on one page.

Every day gets a sheet: AM and PM side by side, grouped by position, with times and a break column. Bridge staff who work both halves are marked, and the count at the bottom is heads, not names.

Print it. Put it by the time clock.

No payroll data required

Hours. Not wages.

UTU never asks what anyone makes. No payroll hookup, no wage table to keep current. You get scheduled hours by day and by position, staff and managers side by side, with GM hours kept out of the totals. That's enough to know if the week is heavy before you post it.

Overtime

From the grid's footer: Meridian 14 demo week, Oct 2–8.

Built by a GM who has closed the building.

David Jones has run everything from a six-screen art house to a 22-screen megaplex, and couldn't find a scheduling tool that fit how a theater actually runs. So he built one.

We only use this to reply about UTU.
